Do’s and Don’ts for Exhibitors at Germany’s Largest Messe Centers

Do: Understand Venue-Specific Guidelines

Before anything else, download and thoroughly review the technical guidelines issued by the venue or organizer. Each Messe center, from Frankfurt to Cologne, has its own structural height limits, utility booking processes, and safety mandates. 

For example, you may be allowed a 6m booth height in one hall according to the Messe Munchen exhibitor guidelines, but only 4m in another at Messe Frankfurt. Likewise, some venues require structural approval for suspended elements or two-story stands. Failing to follow the venue’s specific instructions can delay your installation or require costly last-minute modifications.

Don’t: Underestimate the Setup and Dismantling Timeline

Each venue enforces strict schedules for when you can begin setting up and when teardown must be completed. If you’re exhibiting for the first time, remember that according to Messe Hannover trade show guidelines and similar ones from other venues, you won’t get any flexibility during the construction and dismantling phase. 

You should plan your logistics to meet the entry timeframes and start with dismantling right after the show ends officially. Remember, early teardown can also result in penalties. Also, register your crew in advance to ensure access badges are ready for build-up and dismantling periods.

Do: Prioritize Fire Safety and Material Compliance

Every major Messe venue in Germany requires all booth materials to meet strict fire safety standards, usually DIN 4102 B1 or EN 13501-1 class C-s2, d0.

Make sure your fabrics, walls, and decor are flame-retardant and carry certificates for proof. If your booth has a ceiling structure, ensure it doesn’t block sprinkler heads, emergency lighting, or smoke detectors. Don’t: Ignore Logistics and Vehicle Access Rules

Do: Plan Utilities and Technical Installations in Advance

Electricity, water, compressed air, internet, and hanging elements — these must all be ordered early and often come with specific technical documentation requirements. If you plan to install anything on the ceiling or require suspensions, venues like Messe Munchen and Dusseldorf mandate structural load plans well in advance. Unauthorized wiring or taped cables across walkways are prohibited in all venues and can be forcibly removed by safety officers.

Don’t: Overlook Waste Management and Cleaning Duties

Sustainability is a key priority across all top Messe venues. According to the likes of Messe Cologne exhibitor regulations, exhibitors are expected to:

  • Sort waste into recyclable and non-recyclable categories.
  • Remove construction and dismantling debris immediately.
  • Keep the booth area clean throughout the show.

Failing to do so can result in additional cleaning fees post-show or penalties deducted from your deposit.

Do: Present Your Brand with International Standards

This has less to do with the German Messe Center exhibitor guidelines and more with the global expectations at these venues. From booth design and construction to staff behavior, all exhibitors must follow international standards. You should:

  • Ensure your booth design reflects your brand identity clearly.
  • Train your team to communicate professionally with international visitors.
  • Provide English-language brochures, signage, and collateral.

Don’t: Disregard Onsite Service Guidelines
